The Challenge
Accounting practices manage recurring deadlines, client records, engagement documents and team workloads across different fiscal year-ends. Generic task software can track cards, but it does not naturally understand the relationship between a client, service, filing cycle and responsible staff member.
The SaaS model also required tenant isolation and white-label configuration without duplicating the entire application for each accounting firm.
What made the problem difficult
The work combined customer-facing experience with operational rules behind the scenes. The product therefore had to be designed as a system of roles, states and owned data—not only as a collection of pages.
Our Solution
DevKeyTech designed SpidNums around a relational client record connected to services, recurring work and deadline rules. Kanban workflows and deadline views are different views of the same underlying assignments rather than disconnected task lists.
Tenant-aware data access, branding configuration and role-based permissions support accounting firms and reseller scenarios while keeping client data boundaries explicit in the application and database model.
Delivered capabilities
- Client and engagement CRM
- Recurring task and deadline workflows
- Kanban and SLA views
- Role-based tenant isolation
- White-label configuration
The implementation used staged delivery so core workflows could be reviewed before secondary features increased the surface area.
Results & Impact
The confirmed result is a delivered product experience covering the capabilities above. Commercial performance, conversion, time saved and user-adoption figures are not published here because a verified analytics export and approved client interview are still pending.
Measured outcomes: TBD. These fields should be updated only when production data and the client’s approval are available.
Engineering lesson
Multi-tenancy is a data and authorization decision before it is a branding feature. Tenant identifiers, access policies and audit history must be part of the first schema.
