ERP Software Development: what the work involves

Most growing companies run on a patchwork: sales in one tool, stock in a spreadsheet, accounts in a desktop package, and approvals over WhatsApp. Nobody can answer a simple question such as what is committed, what is in the warehouse and what we are owed without three people and an afternoon. A custom ERP replaces that patchwork with a single database where an order, the stock it consumes and the invoice it produces are connected records.

DevKey builds ERP as a set of modules that share one PostgreSQL schema, so adding a department later does not mean another integration project. We start with the two or three modules that hurt most, model your real approval chains and branch structure, and release in slices that staff can use within weeks. It runs as a cloud web app, and where a warehouse or shop has unreliable connectivity we add an offline-first Electron client that syncs when the line returns.

Customers, suppliers, items, price lists and tax codes are entered once and reused by every module, which removes the duplicate-record problem.

Order-to-cash flow

Quotation, sales order, delivery, invoice and receipt are linked documents, so a manager can open any invoice and trace it back to its order and forward to its payment.

Procure-to-pay flow

Requisitions become purchase orders, goods receipts are matched against them, and supplier bills are checked before they reach the ledger.

Approval workflows

Discount limits, purchase thresholds and credit holds follow rules you define, with each decision stamped by user and time.

Role-based dashboards

The owner sees cash and receivables, the storekeeper sees pending receipts, the accountant sees unposted vouchers, each from the same live data.

Reporting and exports

Branch-wise profit, ageing, stock valuation and tax summaries are built in, with Excel and PDF export for auditors and bankers.

Phase the rollout

Switching every department on the same day is how ERP projects fail. We sequence modules, run old and new in parallel for a closing period, and cut over each area only after its opening balances reconcile.

Data migration quality

Years of messy item names and duplicate customers will not clean themselves. We budget time to de-duplicate masters and load opening stock and balances with a signed reconciliation.

Audit trail and permissions

Edits to posted documents are the usual fraud route. Posted records are locked, corrections are reversing entries, and every change is logged against a named user.

Common questions, answered

Why build an ERP instead of configuring an existing one?

Configurable packages work when your process matches theirs. If your pricing rules, approval chain or unit conversions are unusual, you pay in workarounds and training. A custom build costs more upfront but fits how staff already work.

Can we start with only a few modules?

Yes, and we recommend it. Pick the area that loses the most time, usually sales with stock or purchasing with accounts, and ship that first. The shared schema means later modules plug in without rework.

Will it replace our accounting software?

It can include its own ledger, or it can post vouchers into your existing package through exports or an API. We decide this with your accountant, since the answer depends on tax reporting and audit needs.

What drives the cost of an ERP project?

Mainly the number of modules, how many approval rules and report formats you need, how much legacy data must be migrated, and how many integrations such as banks or tax portals are involved. A scoping workshop produces a fixed quote.
