An approval that should take an hour takes a week because it lives in someone's inbox. A purchase request goes to the wrong manager, the finance head is travelling, nobody knows the current status, and the requester sends three follow-ups. Rules about who must approve what live in people's heads, so exceptions are inconsistent, and at audit time the evidence is a trail of forwarded messages with missing attachments.

DevKey builds approval flows around your actual policy. Requests are submitted through a form, chat or email, and an intake step checks that required fields and attachments are present. Routing rules choose approvers by amount, department, risk or vendor, with delegates for absences. A model can pre-read supporting documents, flag mismatches such as a quote that differs from the request, and summarise long requests for busy approvers. Approvers act from chat or email links, and every step is logged.

Pre-checks help approvers but do not replace accountability. We make clear what the system verified, avoid auto-approving anything beyond narrow low-risk rules you define, and log the basis of each decision.

Policy must be written before it is automated

If thresholds and exceptions are unclear, the workflow will freeze or mislead. We document the approval matrix with you first, and flag contradictions, which is often a valuable output on its own.

Segregation of duties and fraud

Requesters must not approve their own spend, and split purchases can evade thresholds. Rules and anomaly checks look for these patterns, with suspicious cases directed to an independent reviewer.

Can it integrate with our ERP or accounting system?

Yes, where there is an API or database access. Approved requests can create purchase orders or bills automatically. Where integration is hard, we use exports or notifications and discuss the limits.

Do approvers need to log in to a new system?

Not necessarily. Many approve through email links or chat buttons that open a secure page. A web portal is available for those who want to see queues and history.

What if our process changes?

Rules live in configuration, not buried in code, so approvers, thresholds and steps can be edited by an administrator. Larger structural changes may need a developer, and we document how to request them.

Is it suitable for regulated environments?

It can support them by providing consistent routing and an audit trail. Regulations specify what must be approved and retained, and your compliance lead should confirm the design meets those obligations.
