Document Generation Automation: what the work involves

Offer letters, service agreements, certificates, statements and inspection reports are rebuilt by hand from an old file every time. Names are changed in nine places and missed in the tenth, a clause gets deleted by accident, and the wrong version circulates for signature. Staff who should be doing real work spend afternoons formatting, and each person's version of the template drifts a little further from the approved one.

DevKey builds a generation service on top of controlled templates. Layouts and fixed legal wording live in Word, HTML or PDF templates owned by the right department. Data is pulled from your CRM, HR system or database and merged in, with conditional clauses switched on by rules. Where a document needs narrative, such as a summary of findings or a tailored paragraph, a model drafts it from supplied facts. Documents are checked, routed for review or signature, stored and indexed.

What we get right before launch

Legal wording is not for a model to improvise

Binding clauses should come from approved text. We keep the model out of operative terms, restricting it to explanatory or descriptive passages, and require lawyer sign-off on template changes.

Garbage data makes confident documents

A beautifully formatted letter with a wrong amount is worse than a messy draft. We validate source data, show a preview before generation, and block output when mandatory fields are missing.

Retention and personal data

Generated documents often contain identity, salary or health information. We apply access control and retention schedules, avoid sending full documents to external models, and log who generated and viewed each one.

Can we keep using our Word templates?

Usually yes. We convert your existing templates by marking merge fields and conditional sections, so the look stays familiar. Very complex layouts may be better rebuilt as HTML or PDF templates for reliability.

Where does AI fit in?

In the variable narrative parts, such as summaries and tailored paragraphs, and in extracting data from messy inputs to fill templates. Fixed and legal text stays in templates, and the model does not alter it.

Can it produce documents in Urdu?

Yes, with templates designed for right-to-left text and suitable fonts. Layout needs care, particularly in mixed-language documents, and we test the output in your actual print and PDF workflows.

How are generated documents tracked?

Each file is stored with its template version, input data and approver, so you can see exactly how it was produced and reproduce it if an audit or dispute requires.
