Small businesses and the accounting practices serving them still lose days each month to typing. Bills arrive as PDFs, WhatsApp photos and emails, bank lines need matching, and every entry must be coded to the correct account, tax rate and class. Backlogs build up, quarterly deadlines approach, and the books are only accurate after a frantic catch-up that nobody has the energy to repeat.

DevKey designs a posting pipeline that sits between your inboxes and your accounting software. Incoming documents are captured, text is extracted, suppliers are matched, and a coding model suggests account, tax and tracking categories based on your history and chart of accounts. High-confidence items are created as draft transactions; unusual ones wait in a review screen. Corrections feed back into the rules, so recurring suppliers need less attention each month.

Multi-channel intake

Bills and receipts can be forwarded by email, uploaded in a portal or sent through a messaging number, and all land in one queue with the sender recorded.

Supplier and account suggestion

Past postings teach the system which supplier maps to which account, tax code and cost centre, so suggestions reflect your practice rather than a generic template.

Draft-only posting

Transactions are created as drafts or unapproved entries in the ledger, never final, so a bookkeeper approves in bulk with a visible audit trail.

Duplicate protection

Matching on supplier, amount, date and reference prevents the same bill arriving by two channels from being posted twice.

Exception inbox

Unclear documents, unfamiliar suppliers and unusual amounts are collected with the reason they were held, so reviewers know where to look first.

Client chase messages

When a document is unreadable or a query remains open, the tool drafts a polite request to the client for the bookkeeper to send or edit.

What we get right before launch

Tax treatment must not be guessed

GST, sales tax and withholding rules vary by country and by item. Tax codes are assigned from explicit rules agreed with your accountant, and ambiguous cases are routed to a person instead of defaulting.

Segregation of duties

The pipeline prepares entries; it does not approve payments. We keep a clear separation, with role-based access and logs of who accepted each suggestion.

Ledger API limits and changes

Accounting platforms throttle requests and revise endpoints. We build retries, idempotency and monitoring, so a failed sync is visible and never results in silently missing or duplicated entries.

Common questions, answered

Will it replace my bookkeeper?

It replaces typing, not responsibility. A bookkeeper still reviews exceptions, reconciles, handles queries and signs off. Most teams use the saved time to take on more clients or deliver more advisory work.

Does it work with our accounting package?

We integrate with Xero, QuickBooks Online and Odoo via their APIs. For desktop or local software common in Pakistan, we can often work through exports or database access, after checking feasibility.

How does it learn our coding habits?

We load historical transactions, derive supplier-to-account patterns, and keep learning from the corrections your team makes. Rules for tax and special cases are written explicitly, not left to the model.

What about handwritten or poor-quality receipts?

They are the weak point. Blurry or handwritten items are flagged for manual entry rather than guessed. Better capture at source, such as a clear photo guideline, improves results more than any model change.

What affects the build cost?

The accounting platform, document volume and variety, the number of client files or entities, and how much custom approval logic you need. We scope after reviewing a sample month.
