Invoice Processing Automation: what the work involves

Accounts payable is a quiet time sink. Invoices come by email, WhatsApp, post and portal downloads in dozens of layouts. Someone opens each one, finds the supplier, keys in dates, tax and totals, hunts for the matching purchase order, and chases a manager for sign-off. Duplicates slip through, early-payment dates are missed, and month-end close waits on the stack of unentered paperwork.

We set up an intake address and folder watchers that collect every invoice into one queue. Extraction reads supplier, invoice number, dates, tax and line items, then matching logic compares against open purchase orders and goods received notes within tolerances you set. Duplicate detection looks at supplier, number and amount. Clean matches move to the approver you nominate, and exceptions land in a review screen with the reason highlighted. Approved invoices are posted to QuickBooks, Xero, Odoo or your ERP through its API.

What we get right before launch

Tax rules and local formats

Sales tax and GST invoices differ between Pakistan, Australia and the US. We configure tax fields and validations per jurisdiction and have your accountant confirm account mappings before posting.

Fraud and changed bank details

Fake invoices and altered bank accounts are a known scam. We flag first-time suppliers and details that changed, and require human approval before any payment instruction is created.

Learning each supplier layout

Layouts vary and sometimes change without warning. We track extraction quality per supplier, retrain mappings when it dips, and keep a fast manual correction path so the queue never stalls.

Common questions, answered

Which accounting systems can it post to?

Xero, QuickBooks and Odoo have good APIs, and many ERPs can accept imports or API calls. For older desktop software we can produce a clean import file instead. We confirm the route during scoping.

Will it pay invoices automatically?

We keep payment as a separate, human-approved step. The system prepares and queues bills with a clear trail, but releasing money should remain under finance control, especially for new suppliers or changed bank details.

What happens with unusual invoices?

Anything below the confidence threshold or failing a rule goes to an exception queue with the issue highlighted. A reviewer fixes it once, and the correction is saved to improve future handling of that supplier.

How is accuracy checked?

We measure field-level accuracy on a sample of your real invoices before launch, then keep a periodic audit of auto-approved items in production. Totals are always re-verified arithmetically against line items.
