Receipt Scanning Automation: what the work involves

Receipts are small, faded and everywhere. Employees stuff them in wallets and bags, then spend an evening before the claim deadline typing amounts into a form. Finance staff chase missing slips, question handwritten totals, and cannot easily tell whether a receipt was submitted twice. Thermal paper fades within months, so the evidence for a tax deduction can literally vanish.

We provide a mobile-friendly capture screen, either inside your existing app or as a lightweight web page. The photo is straightened and enhanced, then read by OCR and a vision-capable model that extracts merchant, date, currency, tax and total. The system proposes an expense category from the merchant and items, checks for duplicates by comparing amount, date and merchant, and attaches the image to a claim. Managers approve in a simple list, and approved claims export to your accounting software or payroll.

A model proposes fuel, meals, travel or supplies and learns from your corrections to match your own chart of accounts.

Duplicate detection

Matching on amount, date and merchant warns when the same receipt, or a photo of the same purchase, is submitted a second time.

Policy checks

Limits such as maximum meal amounts or missing project codes are flagged to the submitter and approver before the claim goes through.

Export to accounting

Approved expenses move to Xero, QuickBooks or a spreadsheet with the image attached, ready for reimbursement or tax records.

What we get right before launch

Poor thermal and handwritten receipts

Faded printing and handwritten slips are the hardest cases. We show extracted values for confirmation, never auto-submit low-confidence reads, and allow a clearly marked manual entry with photo evidence.

Mixed currencies and local formats

Travel brings foreign currencies, different date formats and tax labels. We store the original currency, convert with a dated rate source you approve and keep both amounts visible.

Employee privacy

Receipts reveal where someone shops and eats. We limit visibility to the submitter, approver and finance, exclude unrelated personal items from analysis and keep retention aligned with tax record rules.

Common questions, answered

Does it work from a phone camera?

Yes. Capture is designed for ordinary phone photos, with edge detection and brightness correction. Very crumpled or dark images may still need a retake, and the app prompts the user when quality is too low.

Can it read Urdu or mixed-language receipts?

Printed receipts in English are the strongest case. Urdu text and mixed layouts are possible with the right OCR but less reliable, so we test your typical vendors and require user confirmation of key fields.

Is this tax-compliant?

It helps by keeping images and extracted data organised, but compliance depends on your jurisdiction and rules. Have your accountant confirm retention periods and what counts as valid evidence, and we configure around that.

Can it connect to our accounting tool?

Xero, QuickBooks and similar tools offer APIs for expenses or bills. Where none exists we generate a clean CSV import. The exact route depends on your software and how your approvals work.
