Sales teams dislike updating the CRM, so they do it late, partly or never. Notes live in WhatsApp, call details in someone's memory, and a lead promised a callback sits untouched for a week. New contacts are matched against existing ones to avoid duplicates, and a language model extracts company, need and next step from messy text, writing them into the right fields. What we get right before launch

Wrong writes into a trusted system

An extraction error placed in the CRM looks official. We limit which fields automation can overwrite, tag every automated change, and queue low-confidence values for review.

Consent and personal data

Logging emails and calls touches personal information. We agree what is captured, honour recording consent rules in your markets, and restrict who can see logged content.

Staff resistance

People worry about monitoring. We position it as removing typing, keep the focus on pipeline rather than activity counts, and let reps correct anything the system gets wrong.

Common questions, answered

Which CRMs can you automate?

Any CRM with a usable API or webhooks, including HubSpot, Zoho and Salesforce, plus custom-built ones. Systems without an API can sometimes be reached through imports or screen automation, which we would discuss first.

Can it fix the mess in our existing data?

It can propose merges, fill gaps and standardise formats, but we run it in review mode first. A person approves a sample, and bulk changes happen only after a backup and an agreed ruleset.

Will it read private emails?

Only mailboxes and labels you connect, filtered to business correspondence with contacts in the CRM. Staff can see what is logged, and personal threads can be excluded by rule.

Does it replace our salespeople's judgement?

No. It handles record keeping and reminders. Deciding whom to call, what to offer and when to close remains a human job, supported by cleaner information.
