Internal Knowledge AssistantDevelopment
A private assistant for your own staff that answers HR, IT and process questions from your documents, inside the tools they already open every day.
Internal Knowledge Assistant Development: what the work involves
Inside a growing company, a surprising share of working hours goes to asking colleagues how things are done: how to claim expenses, where the leave policy says what, which template to use for a quotation, who approves a purchase. Each question interrupts two people, and the answer given verbally is often out of date by the next quarter.
We build a private assistant that lives in Slack, Microsoft Teams or an internal web page. Staff sign in with company accounts, and the assistant retrieves only documents that person is allowed to see. Handbooks, SOPs and wiki pages are indexed, and answers cite the paragraph used. For actions such as filing an IT ticket, the assistant offers a confirmation step before it submits anything. We favour models that can be called without training on your data, keep prompts and logs inside your tenancy, and begin with one department so the answers can be checked by people who know the topic.
Core features
Lives in Slack or Teams
Staff ask in a channel or direct message and get an answer without opening another system or remembering a new login.
Role-aware answers
A sales rep and a finance officer asking the same thing can receive different material, based on who they are and what they may see.
Policy citations
Every answer points to the handbook section and its last review date, so staff can confirm before acting.
Confirmed actions
Common tasks like raising a ticket or booking leave are drafted by the assistant and submitted only after the user approves.
Onboarding mode
New starters get a guided checklist and can ask follow-up questions about their first weeks without feeling they are bothering anyone.
Usage and gap insight
Managers see which topics staff ask about most and which questions went unanswered, pointing to unclear policies.
What we get right before launch
Sensitive HR and finance material
Salary bands and disciplinary files must never surface. We enforce permissions at retrieval time, exclude restricted folders by default, and test with low-privilege accounts.
Trust in wrong answers
Staff may follow an assistant's answer without checking. We show confidence cues, direct high-stakes topics to a named owner, and keep a feedback button on every reply.
Adoption inside the team
Tools nobody opens deliver nothing. We launch with one department, collect their corrections, and expand once the answers match what experts would say.

Common questions, answered
Is our internal data used to train public models?
We choose provider settings and contracts that exclude your content from training, and can use a self-hosted open model if your policy demands it. We document the data flow so your security lead can review it.
Can it act on systems, not just answer?
Yes, for narrow, well-defined actions such as creating a ticket, and always with a user confirmation step. We avoid broad write access until the assistant has proven reliable on read-only questions.
What if two policies contradict each other?
The assistant should quote both and flag the conflict rather than pick one. We also report such conflicts to the document owner so the source gets corrected.
Can we start with only one department?
That is how we recommend starting. A single department gives you a small, checkable document set and real users who can say quickly whether answers are right.
