Organisations routinely discover that the assets they own do not match the assets they have recorded. We build asset management around the asset record and its life events: acquisition, tagging, assignment, transfer, maintenance, revaluation and disposal. Each asset gets a unique tag and QR or barcode label; custody changes are recorded as transfers with acknowledgement by the receiving person; and depreciation runs by the method your accountant selects. Mobile scanning supports verification audits, with discrepancy reports listing assets missing, found or in the wrong place.

Initial tagging effort

The register is only credible after a full physical tagging round. We plan the labelling exercise, pick durable labels for the environment, and treat it as a project with owners per location.

Capitalisation policy

Whether a purchase becomes an asset or an expense depends on policy thresholds. We set these rules with your accountant so the register contains what the books expect.

Link with accounts

A register detached from the ledger drifts. Depreciation and disposals post as journal entries or exportable vouchers, so register totals and the balance sheet agree.

Can we scan assets with our phones?

Yes. QR or barcode labels can be read through the phone camera in the browser, so no special scanner is required for verification audits. Dedicated handheld scanners are an option for large warehouses or high-volume counts.

Does it calculate depreciation?

It runs depreciation by the method and rates your accountant configures for each category, and records disposals. We treat the figures as input to your accounts rather than a replacement for professional advice on tax treatment.

Can it track assets across several branches?

Yes. Each asset has a location and a custodian, transfers between branches are documented, and head office sees the combined register with filters by branch, category and condition.

How do we build the initial register?

We start from your fixed-asset schedule and purchase records, import them, then run a tagging and verification round to correct the gaps. Items found without records are added, and unlocated items are flagged for decision.
