Fleet Management SoftwareDevelopment

See what each vehicle costs to run, who is driving it and what is due next, so fuel, repairs and paperwork stop surprising you.

Fleet Management Software Development: what the work involves

A fleet's costs are spread thin and spotted late: fuel that does not match the distance, tyres replaced twice in a quarter, a registration or fitness certificate that lapsed unnoticed and led to a fine. With vehicles scattered across routes, owners rely on drivers' word and paper logbooks. It is difficult to say which vehicle is losing money, and nearly impossible to prove a fuel or repair claim is excessive.

DevKey builds fleet systems around the vehicle, driver and trip. Each vehicle has a profile with documents, service schedule and running cost history; fuel entries are checked against distance and tank capacity; maintenance is planned by kilometres or dates; and trips link a vehicle, driver and job. GPS trackers can feed positions and mileage by API, and exceptions such as an unusual stop or an expiring licence raise alerts to the fleet manager.

What we build

Core features

01

Vehicle and driver records

Registration, insurance, route permits, fitness, driver licences and training stored with expiry alerts well ahead of the date.

02

Fuel logging and variance

Fuel entries by card, slip or pump integration are compared with distance and norms, flagging unusual consumption.

03

Preventive maintenance

Services scheduled by kilometres or time, with work orders, parts used, workshop costs and downtime history per vehicle.

04

Trip and job assignment

Vehicles and drivers are assigned to trips, with start and end readings, loads and trip-level cost and revenue.

05

GPS tracking integration

Live position, route history, speeding and idle time brought in from compatible tracker devices through their APIs.

06

Cost per kilometre reports

Fuel, repairs, tyres, tolls and driver cost combined per vehicle and per route, so replacement decisions rest on numbers.

Planned for

What we get right before launch

Tracker vendor lock-in

GPS vendors differ in API quality. We check what your tracker exposes before designing around it, and keep the integration behind an adapter so a vendor switch is manageable.

Driver privacy and trust

Tracking affects employees. Clear policy about when location is monitored, access limits to location history and transparent alerts avoid resentment and legal friction.

Odometer and fuel data honesty

Manual readings can be fudged. Cross-checking against GPS distance and fuel card data, and requiring photo evidence for odometer entries, closes the easy loopholes.

Fleet Management Software Development FAQ

Common questions, answered

Can it use our existing GPS trackers?

If the tracker vendor offers an API or data export, we can integrate it. We review the device model and platform documentation first, because some budget trackers lock data inside their own apps with no developer access.

Does it remind us when documents and services are due?

Yes. Registration, insurance, fitness and licence expiries, plus service by kilometre or date, generate reminders to the fleet manager with enough lead time to act, and overdue items appear on a dashboard.

Can drivers use it on their phones?

Drivers can log trips, fuel and defects from a mobile browser, with photos of receipts and odometers. If routes lack signal, entries queue offline and upload when connectivity returns.

Can it show which vehicles are not worth keeping?

Cost per kilometre and maintenance trend per vehicle make that visible. Combined with downtime and age, the reports support repair-or-replace decisions, though the final call still rests on your operational context.
