Cold Storage Management Software Development: what the work involves

A cold store rents space rather than selling goods. Depositors bring potatoes, fruit, dairy or frozen products, leave them in a chamber for weeks or months, and withdraw them in parts. Tracking who owns which lot, how much has left, and what rent is due is tedious in a register, and mistakes mean disputes over quantities or bills that go out late and wrong.

DevKey builds cold storage software around the lot. Each deposit gets a receipt, a chamber and rack position, and an agreed rent basis. Partial withdrawals draw down the balance, gate passes record every movement, and the billing engine calculates storage charges for the exact period each quantity stayed in. Temperature readings are attached to chambers so you can show depositors the conditions their stock lived in.

Every deposit records depositor, product, quantity, grade and date, and prints a numbered storage receipt for the owner of the goods.

Partial withdrawals and gate passes

Withdraw any part of a lot against a gate pass and the remaining quantity updates immediately, with the vehicle and receiver noted.

Rent calculation by period

Rent accrues on the quantity actually stored for the actual days, using your rate basis, with seasonal terms and minimum charges supported.

Depositor accounts and advances

Loans, advances and rent dues sit in one account per depositor, with statements and reminders ahead of season-end clearing.

Chamber temperature log

Record or import temperature readings per chamber, and flag excursions so you can act and answer questions about stock condition.

Unit conversions

Goods arrive in bags, crates and kilograms, and rent may be quoted per bag or per tonne. We model units explicitly so conversions are visible and never silently rounded.

Season-end rush

Withdrawals spike when prices rise. We design the gate and billing screens to be quick under load, and test with a realistic number of simultaneous clearances.

Sensor connectivity

Temperature loggers vary widely. We start with manual or file-based readings and add live sensor feeds only after confirming what your equipment actually exports.

Common questions, answered

Can we bill by the number of days each bag stayed?

Yes. Because withdrawals are recorded by date and quantity, rent can be computed on the exact days each portion stayed. You can also choose a flat seasonal rate if that is how you contract with depositors.

Will it print receipts depositors can show their bank?

It can print numbered storage receipts with lot, quantity and chamber details in your format. Whether a bank accepts them is its own policy, so we match the document to what your usual banks ask for.

Can we see which chambers have spare space?

Yes. A live occupancy view shows used and free capacity per chamber and per rack, which helps the gate staff decide where the next arrival should go without walking the building.

Can depositors check their own stock?

A depositor portal can show lots, balances, rent due and payment history on a phone. Access is limited to each depositor's own records, and you decide whether the feature is switched on.
