Real Estate CRM Development: what the work involves

Property sales run on relationships and timing. A buyer enquires about a plot, an agent promises a callback, and by the time anyone follows up the buyer has visited a competitor. Leads arrive from portals, Facebook ads, walk-ins and dealer referrals, and agents guard their contacts in personal phones. Management then has no way to tell which source produces buyers, or which agent is sitting on dead leads.

We build the CRM around two linked sets of data: people and property. Leads and buyers move through a pipeline from enquiry to site visit, negotiation, token and booking, while the inventory side holds projects, blocks, plots or units with size, price and status. A lead can be matched to available stock, a hold can be placed, and agent commission is calculated from the booking. Lead sources connect through website forms and Meta lead ads.

Double-selling prevention

Two agents promising the same plot damages trust. A hold-and-release mechanism with expiry and a single status per unit stops the same inventory being sold twice.

Lead ownership disputes

Agents argue about who owns a client. We record first contact, assignment rules and activity history, so disputes are settled from a visible record rather than opinion.

Contact data protection

Buyer lists are valuable and portable. Agents see only their own leads, bulk export is limited to managers, and every download is logged.

Can leads from property portals flow in automatically?

Where a portal provides email forwarding or an API, leads can be parsed into the CRM automatically. Some portals restrict access, so we check what yours allow and fall back to a reliable email-parsing route where needed.

Does it manage plots and instalment plans?

The CRM covers inventory and bookings with payment schedules. Housing projects with large instalment ledgers may add our plot installment module, so collection tracking and receipts live alongside the sales pipeline.

Can agents work from their phones?

Yes. The CRM is responsive, so agents can log calls, update statuses and check availability from a mobile browser, and share plot details with a client during a site visit.

How is commission calculated?

You define the rules, such as percentage by project, tiered by volume, or split between agent and team lead. The system accrues commission on confirmed bookings and produces statements that finance can approve before payout.
