Managing rentals is a long game of dates and small amounts: leases that expire, rent due on different days, security deposits to return, and a plumber to dispatch on a Sunday. A portfolio of even forty units produces more tracking work than a notebook can carry, and mistakes compound: a lease renewed without a rent revision, a deposit forgotten, an owner asking why this month's statement is lower.
DevKey builds property management around properties, units, tenants and leases. The lease drives everything: rent schedule, escalation, deposit, and renewal date. Rent invoices are generated each cycle and receipts allocated against them, maintenance tickets are logged per unit and assigned to vendors, and owner statements net out collections, expenses and management fees. Tenants can log in to view dues and raise requests, and managers see vacancy and arrears at a glance.

What we get right before launch
Deposit and refund tracking
Deposits are liabilities, not income. We hold them against the lease, record deductions with reasons, and produce a clear refund statement at exit.
Escalation and renewal logic
Annual rent increases are often agreed in contracts and forgotten in practice. Encoding them in the lease means future invoices are right without someone remembering.
Separation of owners' money
Managers hold funds belonging to owners. Ledgers keep each owner's collections and expenses distinct, so statements reconcile and commingling cannot happen quietly.

Common questions, answered
Can it manage several owners' properties separately?
Yes. Each property belongs to an owner, collections and expenses post to that owner's ledger, and statements are produced per owner. Owners can be given a login to view their own properties and payouts only.
Does it remind tenants about rent?
Yes. Reminders go before and after due dates by email, SMS or WhatsApp, with tone and timing you set. Staff can pause reminders for a tenant who has agreed a payment date.
Can tenants use a portal?
A tenant login shows the lease, invoices, payment history and open maintenance tickets, and lets them raise a request with a photo. It reduces calls to the office and keeps a written record of each issue.
How do we load our current tenants and leases?
We structure your sheets into units, tenants and leases, import to a test copy, and check outstanding balances tenant by tenant. Opening arrears are loaded as dated items so ageing stays correct from day one.
