Housing Society Management Software Development: what the work involves

A housing society is part land registry, part utility company and part local government. The office holds thousands of member files, collects monthly maintenance and water charges, processes transfers and NOCs, and fields complaints about streetlights and garbage. DevKey builds the system around the member and the plot. A plot record carries ownership history, dimensions, category and charges; the member record carries family, contacts and documents. Dues are generated per plot by rules, receipts post to a ledger, and a transfer workflow collects clearances from each department before the file moves on. Residents get a portal for statements and complaints, and the committee gets dashboards of collection, arrears and open issues.

Ownership history integrity

Disputes often turn on who owned a plot when. Transfers append to a history that is never overwritten, with the documents and approval trail attached to each change.

Legacy file migration

Society records are inconsistent after years of manual entry. We plan a data-cleaning phase and a verification drive, since a wrong plot or name creates a billing dispute immediately.

Fair, explainable charges

Members challenge bills. Each charge shows its rule, rate and period, and any waiver needs an authorised approver and a recorded reason that auditors can read.

Can residents see their dues and pay online?

Residents can log in to see charges, receipts and balances. Online payment is possible through gateways or bank channels available to your society, and we help confirm which options work with your account arrangement.

How does the transfer process work?

A transfer is a workflow with defined steps: dues clearance, document check, committee approval, fee payment and record update. Each officer completes their step in the system, and nobody can skip ahead without leaving a trace.

Can it handle different plot sizes and charges?

Yes. Charges are configured by plot category, size or block, and can include one-off development charges. Changes to rates carry an effective date so earlier months are not recalculated by mistake.

How do you migrate our existing records?

We map your registers and spreadsheets to plots and members, import them into a test copy, and produce discrepancy lists for the office to resolve. Opening balances are loaded per plot, not as one society-wide figure.
