Task Management SoftwareDevelopment

Turn instructions given in meetings and chats into assigned, dated and tracked tasks that someone is accountable for.

Task Management Software Development: what the work involves

Most organisations lose work in the gap between a decision and its execution. A manager says it in a meeting, someone nods, and a week later nobody remembers who was meant to do it. Recurring duties such as monthly filings or equipment checks depend on one person's memory. Generic to-do apps help individuals but rarely give a manager the view of what is overdue across a department, or an audit of whether a mandatory task was completed.

DevKey builds task management around assignment, accountability and recurrence. A task has an owner, a due date, a priority, a checklist and optional approval; it can be recurring, linked to a customer or asset, and created automatically from events such as a new complaint or an expiring licence. Overdue items escalate to the next manager, and dashboards show workload and completion by person and team. Notifications go to email or WhatsApp.

What we build

Core features

01

Assignment and ownership

Every task has one accountable person, optional watchers, and a clear history of reassignments and comments.

02

Recurring and scheduled tasks

Daily, weekly or monthly duties are generated automatically with checklists, and completion is recorded with timestamp and user.

03

Escalation rules

Tasks overdue by a set period notify the manager, then the next level, so slippage reaches someone who can act.

04

Checklists and approvals

Multi-step tasks carry checklists, and sign-off steps require a reviewer's approval before the task closes.

05

Event-triggered tasks

Tasks can be created from system events, such as a failed delivery or an approaching contract end, with context attached.

06

Workload and completion reports

On-time rate, average cycle time, open load per person and recurring tasks that keep getting missed.

Planned for

What we get right before launch

Notification fatigue

Too many alerts get muted, and then nothing works. We group reminders into a daily digest, reserve instant alerts for escalations, and let each user tune their own channel.

Capture where work actually starts

If creating a task needs a laptop, people will not do it. We add quick-add through mobile browser, email-to-task or WhatsApp, so a request is captured at the moment it is made.

Evidence for compliance tasks

For safety or regulatory checks, a tick is not proof. Tasks can require a photo, reading or signature, stored with the completion record for later audit.

Task Management Software Development FAQ

Common questions, answered

How is this different from project management software?

Task management focuses on assigning, scheduling and following up individual and recurring duties. Project management adds phases, budgets and resource planning. Many clients start with tasks and layer project features on afterwards.

Can tasks be created from WhatsApp or email?

Email-to-task is straightforward. WhatsApp creation uses the Business API and message templates, which carry Meta's approval and usage rules. We design the flow within those limits and confirm feasibility during scoping.

Can we prove recurring checks were done?

Yes. Completion stores user, time and any required evidence such as a photo or reading, and a missed-task report shows gaps. That history is useful for audits, inspections and settling who did what.

Does it support different teams with separate views?

Yes. Teams see their own boards and lists, managers see their departments, and executives see summaries. Task visibility follows role rules, so sensitive items such as HR or finance work stay restricted.
