Visitor Management SoftwareDevelopment

Replace the paper gate register with a fast check-in that tells hosts who has arrived and tells security who is on site.

Visitor Management Software Development: what the work involves

The gate register is where building security quietly fails. Handwriting is unreadable, ID numbers are copied wrongly, hosts are phoned one by one, and after an incident nobody can say who was inside at a given hour. For offices, factories, hospitals and housing societies, a proper visitor log is both a courtesy and a safety record.

DevKey builds visitor systems that keep the front desk quick. Expected guests are pre-registered by their host and receive a QR pass, walk-ins are captured with name, purpose and an ID photo, and the host is alerted the moment they are checked in. A badge prints at the desk, and check-out closes the record so the system always knows who is still on the premises.

What we build

Core features

01

Host pre-registration

Employees or residents invite a guest in advance, and the visitor arrives with a QR code that makes check-in a single scan.

02

Walk-in capture

Security enters name, company, purpose and vehicle, takes a webcam photo, and scans an ID card number without retyping.

03

Instant host notification

On arrival, the host receives an SMS, WhatsApp message or app alert, and can approve or decline the visit from their phone.

04

Badge and pass printing

A badge with photo, host, validity time and QR is printed at the desk, so staff can recognise authorised guests on the floor.

05

Watchlist and blocklist

Individuals barred from the site are flagged at check-in, and security sees an alert before the badge is issued.

06

Live on-site roster

A single screen lists everyone currently inside, which is what an evacuation or head-count requires within seconds.

Planned for

What we get right before launch

Handling ID and photo data

Copies of national ID cards and faces are sensitive. We collect only what policy needs, limit who can open the records, and set an automatic deletion period you approve.

Speed at the busiest hour

A slow kiosk creates a queue at nine in the morning. We keep the walk-in form short, remember returning visitors and support a fallback mode if the network drops.

Fitting into gate hardware

Barrier gates, badge printers and tablets vary by site. We confirm devices before design, and keep the hardware layer separate so a replacement printer does not mean rewriting the application.

Visitor Management Software Development FAQ

Common questions, answered

Can residents approve guests from their phones?

Yes. The host receives a message on arrival and can approve or decline, and residents can also pre-authorise expected guests, delivery riders or domestic staff with a validity window set in advance.

Does it work if the gate loses internet?

A desktop client can keep recording visitors locally and sync later, so the gate never stops. Host notifications resume as soon as the connection returns, and entries keep their original timestamps.

Can it integrate with access cards or turnstiles?

Where the hardware offers an interface, a visitor pass can trigger a temporary credential or gate release. We verify the specific controller during discovery before committing to that scope.

How is the project priced?

Cost follows the number of entry points, whether kiosks or printers are involved, host notification channels and any access-control integration. After discovery we provide a fixed-scope quote.
