Staff record fuel, odometer and damage photos at both ends of the hire, which gives a fair basis for any dispute over charges.

Deposits and extensions

Security deposits are held, adjusted against damage or fines and refunded with a receipt, and extending a hire re-checks the calendar first.

Identity and document handling

Licence and ID copies are sensitive. We keep them in access-controlled storage, show them only to roles that need them and agree a retention period with you.

Traffic fines and challans

Fines arrive weeks after a hire. We link each fine to the vehicle and the date range so it can be traced to the right customer and recharged with a record.

Vehicle tracking hardware

If cars carry GPS trackers, integration depends on what the tracker vendor exposes. We confirm the data feed before promising live location inside the system.

Common questions, answered

Can customers book a car from our website?

Yes. A booking form can show available categories for chosen dates and capture a request or a deposit. Staff still confirm and assign the exact vehicle, so you keep control of who drives what.

How are double bookings prevented?

Each vehicle has one calendar that the database enforces. A second hire for overlapping dates is rejected at the moment of saving, even if two staff members try at the same time from different devices.

Can we rent out cars with a driver as well?

Yes. Drivers are tracked as their own resource with availability, and a with-driver booking reserves both the car and the driver, with a separate tariff and overtime rules that you define.

Does it handle more than one pickup branch?

It can. Vehicles belong to a branch, one-way hires are recorded as transfers, and each branch sees its own bookings while owners see the whole fleet and cash position together.
