Dealer Management SoftwareDevelopment
Give every dealer a login to order, check credit and claim incentives, while head office sees sell-in, targets and exposure across the network.
Dealer Management Software Development: what the work involves
A manufacturer or importer selling through dealers has limited sight of what happens after the goods leave the warehouse. Dealers phone in orders, argue over credit limits, claim incentives from memory and report stock only when asked. Head office cannot see which dealers are meeting targets, which are overstocked, and where payment delays are building. Rewards and schemes become disputes because both sides keep their own version of the numbers.
We build dealer management around the dealer account and its relationship with the company. A dealer portal handles orders, statements and claims; head office manages territories, price tiers, credit limits and targets; and the system calculates incentives by scheme rules. Secondary data such as dealer stock and sub-dealer sales can be captured to see beyond the first sale. Onboarding includes documents and approvals, and dealer performance dashboards compare actuals with targets by region and product line.
Core features
Dealer onboarding and profile
Application, documents, security deposits, territory assignment and approval, with contract terms stored on the dealer record.
Dealer portal ordering
Dealers place orders against their price tier, check availability, view statements and download invoices without calling the office.
Credit limits and exposure
Limits by dealer with live exposure of invoices, cheques in hand and overdue amounts, and holds when limits are exceeded.
Targets and incentive schemes
Quarterly or annual targets by product, with slab, rebate and gift schemes calculated from verified sales.
Claims and warranty handling
Dealers submit scheme, damage and warranty claims with evidence, and head office approves, rejects or part-pays with reasons.
Dealer stock and sell-out
Periodic dealer stock and sub-dealer sales entry shows secondary movement, supporting replenishment and territory decisions.
What we get right before launch
Channel conflict
Dealers watch each other's prices and territories. Territory rules and price tiers are explicit in the system, and exceptions need approval, which reduces accusations of favouritism.
Dealer data quality
Secondary stock reports are only as honest as dealers make them. We keep entry light, cross-check against sales and invoice data, and use audits for outliers instead of assuming accuracy.
Scheme calculations that stand up
Incentive disputes ruin dealer relations. Schemes are written as rules with dates, calculated from invoices, and each payout shows the transactions behind it.

Common questions, answered
Is a dealer portal part of this?
Yes. Dealers log in to see only their own orders, statements, targets and claims. They can reorder and download documents themselves, which reduces office calls and gives both sides the same record of the account.
Can it calculate dealer incentives automatically?
Yes, once the scheme is written as rules, such as slab rebates on quarterly purchases. Payouts are calculated from invoices and returns, and each dealer's statement shows the transactions that earned or reduced the incentive.
Can we track dealer stock?
Dealers or your field team can submit stock and sell-out figures through the portal or a mobile form. It supports replenishment planning, but it depends on dealer participation, so we keep the form short and tie it to scheme eligibility.
How does it relate to distribution software?
Distribution software runs the distributor's own salesmen, routes and retailer credit. Dealer management serves the company that sells to its dealers, covering their orders, targets and claims. A company can use both at different levels.
