In a growing company, HR knowledge sits in the head of one or two people. Contracts are in a cabinet, leave balances in a spreadsheet, and the question of who is on probation until when is answered by memory. When that person is away or leaves, the gaps show up as disputes over leave, missed confirmations and rushed document hunts during audits.

DevKey builds HR software around an employee master record that every other function reads from: org structure, employment history, documents, leave entitlements and reporting lines. Employees and managers use a self-service web portal for requests and approvals, while HR works in an admin console. Attendance data and payroll can feed in from biometric devices or a linked payroll module, so there is no second typing of the same facts.

Vacancies, candidate stages, interview notes and offers are tracked, and an accepted offer converts into an employee record.

Review forms, goals and manager ratings run on a schedule you set, with history retained for promotion and increment decisions.

Joining tasks such as laptop issue and account creation, and exit tasks such as handover and clearance, are assigned and tracked to completion.

What we get right before launch

Sensitive personal data

Salary, disciplinary notes and identity documents need tight visibility. We use field-level permissions so a line manager sees leave but not pay, and HR actions are logged.

Policy encoded as rules

Leave and probation rules often exist only as habit. We write them down with you first, then configure them, which surfaces inconsistencies before they become system bugs.

Linking to payroll and attendance

If HR, attendance and payroll disagree on joining dates or leave, salaries come out wrong. We keep a single source for each fact and expose it to the others.

Common questions, answered

Does the HR system include payroll?

It can connect to a payroll module or include one. Many clients start with the employee file and leave, then add payroll once records are trustworthy. We design the data model so that step needs no re-entry.

Can employees apply for leave from their phones?

Yes. The self-service portal is mobile-friendly, so staff can check balances, submit requests and managers can approve with a tap. Notifications go by email, and WhatsApp messages can be added.

Can it hold our policies like probation and confirmation?

Yes. Probation length, confirmation reviews, notice periods and leave entitlements by grade are configured as rules, with reminders to HR when a date approaches rather than relying on someone remembering.

How do you move our employee records into it?

We map your spreadsheets to the employee schema, import in a test environment first, and have HR sample-check records against physical files. Gaps such as missing documents are listed so you can fix them in a planned way.
