School Management SoftwareDevelopment

Run admissions, daily attendance, fee vouchers, exams and parent updates from one system, instead of registers, notebooks and a fee clerk's memory.

School Management Software Development: what the work involves

A school is a small town: hundreds of families, a timetable that must not clash, fees due on different dates, and reports that parents expect on time. Most run on a mixture of attendance registers, fee ledgers and teacher spreadsheets, which fall apart in admission season and again at result time. Errors here are visible to parents and damage trust quickly.

DevKey builds school management around the student record: admission details, guardians, section, fee plan, attendance and results all attach to it. Principals, teachers, accountants and parents each get their own view in a web portal, and fee vouchers, report cards and gate passes are generated as PDFs. Schools with several campuses share a central database with campus-level permissions, and attendance can come from manual entry or card and biometric devices.

What we build

Core features

01

Admissions and enrolment

Enquiry, test, admission decision and enrolment steps are tracked, with guardian details and documents stored on the student record.

02

Class, section and timetable

Subjects, teachers and rooms are scheduled without clashes, with substitution handling when a teacher is absent.

03

Fee plans and vouchers

Tuition, transport and activity fees per class, sibling concessions, late fines and monthly vouchers with a bank-friendly voucher number.

04

Daily attendance

Teachers mark attendance on a phone or tablet, absentee alerts go to parents, and monthly percentages feed the report card.

05

Exams and report cards

Define assessments and weightings, enter marks by subject, and produce grades, ranks and printable report cards.

06

Parent communication

Notices, diary entries, fee reminders and result announcements reach guardians through a portal, SMS or WhatsApp.

Planned for

What we get right before launch

Minors' data and visibility

Student records involve children's personal information. Parents see only their own children, teachers only their sections, and staff access to records is logged.

Fee arrears and adjustments

Real fee ledgers include partial payments, waivers and advance payments. Modelling these properly up front prevents the collection register and the system from drifting apart.

Academic-year rollover

Promoting every student, reassigning sections and carrying forward arrears is a once-a-year crunch. We build a tested rollover tool so it is not a weekend of copying.

School Management Software Development FAQ

Common questions, answered

Can parents see fees and results online?

Yes. A parent login shows each child's fee status, attendance, diary and results. Access is limited to their own children, and fee vouchers can be downloaded or paid against through your bank's usual channel.

Does it support more than one campus?

Yes. Campuses share one database with separate fee structures, staff and sections, while the owner sees combined enrolment and collection reports. Permissions keep each campus head within their own campus.

Can we import our current student data?

We import from your Excel registers after cleaning names, class assignments and guardian numbers, then give you a verification list to check before the term starts. Photos and documents can be loaded in bulk as well.

Does it work if the school has poor internet?

Core admin work can run from a local server or an offline-first desktop client that syncs later, while teachers use the web app when connected. We scope this with a visit to understand your actual connectivity.
