A college differs from a school in the number of moving parts: programmes with their own credit structures, students picking courses each semester, prerequisites, repeat attempts, and results that must match what the affiliating board or university expects. Run on spreadsheets, the exam section becomes a bottleneck at the end of every term, and a single wrongly carried grade can delay a graduating student by months.

DevKey models the academic structure first: programme, batch, semester, course offering, section and enrolment. Grading schemes, GPA and CGPA formulas, and repeat or improvement rules are configured as data, so a regulation change does not need a developer. Faculty enter attendance and marks through a web portal, the accounts office issues challans per semester, and students check registration, fee status and results themselves. The database is PostgreSQL, with role scopes per department.

Grade points, repeat replacement rules and standing are computed per your regulations, with transcripts and degree audits printed as PDFs.

Per-credit or fixed fees, scholarships, hostel and exam charges, instalments and fines produce challans reconciled against bank deposits.

Faculty workload and timetable

Teaching loads, room allocation and timetables are checked for clashes, and attendance shortages flag students before exam eligibility lists are drawn.

Grade improvement, incomplete courses and condonation rules are where homegrown sheets break. We collect your written regulations and test the grading engine against past student records before go-live.

Result integrity

A changed grade is a serious event. Results lock after notification, any correction requires an authorised role and a stored reason, and the audit log shows the old and new value.

Historical records

Alumni ask for transcripts years later. We import past results in a verified batch, or keep legacy data in a read-only archive linked to the student, instead of risking inaccurate bulk conversion.

Can the grading rules match our university's regulations?

Yes. Grade scales, credit weightings, GPA formulas, repeat and improvement policies are stored as configuration. We test them against sample past results from your exam office so the computed CGPA matches what you already issued.

Can students register for courses online?

Yes. Registration opens for a window you define, checks prerequisites and timetable clashes, and routes exceptions to an adviser. Fee clearance can be made a condition so unpaid dues stop registration automatically.

Does it handle several departments and campuses?

It does. Each department or campus gets its own programmes, staff and fee rules, while the registrar sees institution-wide numbers. Permissions keep a department head from editing another department's marks.

How do you bring in our current student data?

We map your existing registers and result sheets to the enrolment structure, import into a test copy, and have the registrar spot-check students from each batch. Mismatches get listed and fixed before anyone depends on it.
