NGO Donor Management SoftwareDevelopment

Donors, pledges and grants tracked together, so an NGO can thank supporters on time and show funders where each rupee went.

NGO Donor Management Software Development: what the work involves

A non-profit depends on relationships and trust, and both suffer when donor records are scattered. Gifts arrive by bank transfer, cash at events, online and through field offices; pledges are promised and forgotten; and restricted funds must be spent only on the purpose the donor named. When records are weak, receipts are late, repeat donors are never approached and funder reports take weeks of reconciliation.

DevKey builds donor software around the donor and the fund. Each gift is recorded against a donor, a campaign and a fund, with a receipt that carries your organisation details. Pledges generate reminders, grants carry budgets and reporting deadlines, and spending is tagged to the fund it came from, so restricted balances are clear. Reports for trustees and funders come from the same records rather than separate spreadsheets.

What we build

Core features

01

Donor records and history

Contact details, giving history, preferences and communication notes in one profile, with duplicates merged carefully.

02

Gifts, receipts and campaigns

Record every donation by channel and campaign, issue numbered receipts and email or print them with your registration details.

03

Pledges and recurring giving

Track promised amounts and instalments, with reminders to donors and a list of pledges that have not been fulfilled.

04

Restricted funds and grants

Each fund and grant has its own balance, budget lines and period, so spending cannot silently drift to the wrong purpose.

05

Beneficiary and project linkage

Attach expenditure and outcomes to projects and beneficiaries, so supporters can be told what their gift achieved.

06

Funder and trustee reports

Income, expenditure by fund and project, and donor summaries in the formats that boards and funders ask for.

Planned for

What we get right before launch

Donor privacy

Donor identity can be sensitive, and some give anonymously. We support anonymous gifts, restrict who can see giving history and avoid exposing lists in exports without a reason.

Zakat and restricted money

Funds collected for a defined purpose must be accounted for separately. We keep restricted and general funds apart in every report and block spending beyond a fund's balance.

Online giving integration

Payment options depend on what your bank or gateway offers to registered non-profits. We confirm eligibility before building online donation flows around a provider.

NGO Donor Management Software Development FAQ

Common questions, answered

Can donors give online?

Yes, where a payment provider accepts your organisation. A donation page can take one-off or recurring gifts, record them against the right fund and issue a receipt automatically. We confirm provider eligibility first.

Can we keep restricted funds separate?

Yes. Each fund tracks income and spending on its own, and expenses must be assigned to a fund. Reports show restricted and unrestricted balances apart, which is what funders and auditors look for.

Does it help with grant reporting?

It stores grant terms, budgets and reporting dates, and compares actual spending with the approved budget. You then export the figures in the layout the funder uses, and add your narrative separately.

Can field offices enter donations?

Yes. Field staff can record cash and cheque gifts with receipts from a phone or a laptop, and head office sees them as they are entered, with reconciliation against bank deposits.
