Clubs and associations run on goodwill and a register that only the secretary understands. Governance rules in the software

Your constitution defines who may vote and when membership lapses. We encode those rules with your committee, since a system that contradicts the constitution causes disputes.

Cleaning the register

Old registers hold duplicates, deceased members and outdated contacts. We run a verification exercise during migration, and flag uncertain records for the secretary instead of deleting them.

Electronic voting integrity

Online voting needs secrecy and verifiability. If enabled, we limit it to authenticated eligible members and agree with the committee whether it is advisory or binding under your rules.

Common questions, answered

Can members renew and pay online?

Yes. Members log in to see dues and pay through gateways or bank channels available to your organisation, and the payment updates their standing automatically. Cash and bank deposits can still be entered by staff and allocated.

How does the digital membership card work?

The member portal shows a card with a QR code tied to their record. At the gate or facility, staff scan it and see current standing, so expired or suspended members are identified without a call to the office.

Can it support different member categories?

Yes. Each category has its own fees, benefits, voting rights and rules, such as student, corporate or life membership. Moving a member between categories keeps their history and adjusts future billing.

Can we use it for elections?

It can produce eligibility lists and, if your constitution permits, run authenticated electronic voting for members in good standing. Whether results are binding is for your committee and rules to decide, and we configure accordingly.
