Event Management SoftwareDevelopment

Plan the event, track budget and vendors, manage guests and registrations, and run check-in on the day from one workspace.

Event Management Software Development: what the work involves

An event is a short project with a hard deadline and no rehearsal. Planners juggle venue holds, caterers, decorators, performers and sponsors, each with a quote, a deposit and a delivery time, while the guest list changes daily. When that sits in chat groups and spreadsheets, a missed vendor confirmation or an unpaid deposit is found on the morning of the event, and the final bill dispute with the client begins with nobody agreeing on what was authorised.

DevKey builds event management around the event, its tasks, budget and guests. A planner sets up an event with a timeline and checklist, books vendors with contracts and payment schedules, and tracks budget against actual spend. Registration pages and guest lists capture attendees with categories and seating; invitations go out by email or WhatsApp; and on the day, QR codes at the entrance record arrivals. Post-event reports reconcile spend, collections and attendance.

What we build

Core features

01

Event workspace and timeline

Per-event checklist, milestones and responsibilities, with templates for event types you repeat.

02

Vendor and quote management

Compare quotes, book vendors, store contracts, and track deposits and balances due ahead of the date.

03

Budget and client billing

Estimated versus actual cost per category, and client invoices with markup and approved changes tracked clearly.

04

Guest list and registration

Online registration, categories, meal and seating preferences, RSVPs and capacity limits per session or table.

05

Invitations and communication

Bulk email and WhatsApp invitations, reminders and updates, with delivery and response tracking per guest.

06

On-site check-in

QR scans at the entrance record arrivals, print badges, and show live attendance counts to the organiser.

Planned for

What we get right before launch

Last-minute changes

Plans shift until the final hour. We make edits quick, keep a change log for client approvals, and let the on-site team see the latest version on their phones.

Entrance performance and connectivity

Check-in queues form fast, and venues have poor signal. Scanning works offline against a downloaded guest list, with devices syncing when the network permits.

Guest data handling

Guest lists hold personal contacts. Access is limited to the event team, exports are logged, and data can be removed after the event according to your retention policy.

Event Management Software Development FAQ

Common questions, answered

Can guests register online?

Yes. A registration page collects guest details, category and preferences, confirms by email or message and issues a QR pass. Capacity limits and waitlists stop sessions or tables from overfilling.

How does check-in work on the day?

Staff scan each guest's QR code on a phone or tablet, which marks arrival and can print a badge. The device stores the guest list locally, so scanning continues if the venue's connection drops.

Can it track the event budget?

Yes. Budget lines per category compare estimates with quotes, committed costs and payments made. Variations are logged with approval, so the final client bill matches what was agreed rather than a reconstruction.

Does it work for recurring events?

Yes. Past events can be cloned as templates with their checklists, vendors and budget structure, which saves setup for annual conferences or repeating exhibitions, and previous attendee lists can be reused where consent allows.
