Many business processes are really chains of handoffs: a request is raised, someone checks it, someone approves it, someone acts on it. When the chain runs through email and chat, requests stall without anybody noticing, people approve things they should not see, and nobody can say how long a typical request takes or where it gets stuck. Workflow software makes the route explicit and measurable.

DevKey builds workflow systems by first mapping the process with the people who run it, including its exceptions. We then model steps, roles, conditions and time limits, build the forms each step needs, and add routing rules such as amount thresholds or department-specific approvers. Each case keeps a complete history, overdue steps escalate, and process owners get reports on cycle time, bottlenecks and rework.

Automating a broken process

Software can lock in confusion. We map and simplify the process with its owners before building, and remove steps that exist only because of old habits.

Exceptions and overrides

Real work has urgent cases. We build controlled override paths with a reason and a second approver, rather than letting people bypass the system through chat.

Audit trail integrity

A workflow is only evidence if history cannot be edited. Every transition is stored append-only with user and time, and corrections are new entries rather than overwrites.

Common questions, answered

Can we change the process later without a developer?

Within limits, yes. Steps, approvers, thresholds and deadlines are configuration that an administrator edits. New kinds of step or integrations with other systems may still need development, which we handle as a change.

Does it replace email approvals?

It replaces the chain of forwarded emails with one record. Approvers can still be notified and can approve from a link in their email, but the decision is stored in the system, not in someone's inbox.

Can it connect to our other systems?

Yes. A step can read from or write to an ERP, HR or accounting system through its API, and incoming events can start a workflow, so data is not retyped between tools.

How do we handle requests in progress when the process changes?

We version each process. Cases already running continue on the version they started with, while new cases use the updated one, unless you choose to migrate open items deliberately.
