Hotel Management SoftwareDevelopment

Run reservations, check-in, housekeeping, guest folios and night audit as one connected flow, so rooms are sold once and billed correctly.

Hotel Management Software Development: what the work involves

A hotel sells a perishable item: a room unsold tonight is revenue gone. Yet many properties juggle a booking register, a WhatsApp group for housekeeping and a billing notebook. The result is double-booked rooms, extras that never reach the guest's bill, and a manager who cannot answer today's occupancy without calling the front desk. The pressure peaks when bookings arrive from several channels at once.

DevKey models the property as room types, rooms, rate plans and reservations, with the guest folio as the financial centre: room charges, restaurant bills, laundry and minibar all post to it. Front desk handles arrivals and departures, housekeeping gets a live room-status board on tablets, and a night audit closes the day and rolls the date. Channel managers and booking engines can connect by API, and a restaurant or POS module can post straight to room accounts.

What we build

Core features

01

Reservations and availability

A calendar of room types and rooms with holds, group blocks, deposits and overbooking limits you control.

02

Front desk operations

Check-in with ID capture, room assignment, early and late departure, room moves and extensions handled in a few steps.

03

Housekeeping board

Rooms show clean, dirty, inspected or out of order, tasks go to staff devices, and the desk sees status change instantly.

04

Guest folio and billing

Room tariff, taxes, restaurant and service charges accumulate on the folio, with split billing for company and personal items.

05

Rate plans and seasons

Weekday, weekend, seasonal and corporate rates with packages such as breakfast included, applied automatically at booking.

06

Night audit and reports

Daily close posts room charges, reconciles cash and produces occupancy, ADR, revenue by source and arrivals forecasts.

Planned for

What we get right before launch

Channel inventory sync

Double bookings happen when online agent availability lags. We use channel manager or direct APIs for near real-time sync, and agree what the system does when a sync fails.

Taxes on accommodation

Tax treatment of room and food charges varies by province and registration. We make tax lines configurable and check the current rules with your accountant.

Night audit discipline

The date rollover is where cash and posting errors surface. We build audit checks for unposted charges and unsettled folios, and lock the closed day against casual edits.

Hotel Management Software Development FAQ

Common questions, answered

Can it sync with online travel agents?

Yes, typically through a channel manager or the agent's connectivity API. Rates and availability then update both ways. Which agents are supported depends on their partner programmes, so we confirm those you use during scoping.

Can restaurant bills be charged to a guest's room?

Yes. A restaurant or POS module can post a bill to the in-house guest's folio at the table, and it appears at checkout. Housekeeping extras and laundry can follow the same route.

Does it work for a small guest house?

It scales down. A small property can use reservations, check-in, a simple folio and daily reports without the heavier modules, and add housekeeping, rate plans or channel sync as occupancy and staff grow.

What happens during a power or internet failure?

A local server or offline-capable desk client can continue check-ins and billing, then sync once connectivity returns. We agree the downtime procedure with your front-office manager, including printed fallbacks for arrivals and departures.
