A library lives or dies on its catalogue. When accession registers sit in spreadsheets and issue slips are written by hand, nobody can say whether a title is on the shelf, with a student, or simply gone. Overdue notices depend on a librarian's memory, fines are argued over, and the annual stock check turns into a week of counting. Library management software replaces that with one record per physical copy and one history per member.

We model titles separately from copies, import your existing register, print barcode labels, and wire a scanner to the issue desk so a checkout takes seconds. Title and copy catalogue

Bibliographic details live on the title while each physical copy carries its own accession number, shelf location and condition, so lost or damaged copies never hide a title.

Barcode circulation desk

Issue, return and renew by scanning the member card and the book label. The desk screen shows overdue items and holds before the loan is confirmed.

Member categories and limits

Students, teachers, staff and outside readers each get their own loan period, item limit and fine rate, adjustable without a developer.

Reservations and waiting lists

When every copy is out, a member can queue for the next return. The system holds the returned copy aside and notifies the first reader in line.

Fines and receipts

Overdue fines accrue by the day, can be waived with a reason, and are collected against a numbered receipt that feeds your cash book.

Stock verification mode

Walk the shelves with a handheld scanner, and the system lists what is missing, misplaced or unregistered, replacing the manual annual count.

What we get right before launch

Cleaning the existing register

Old registers usually contain duplicate titles, inconsistent author spellings and missing accession numbers. We budget time to import in batches and reconcile exceptions with the librarian, rather than loading messy data and living with it.

Who may waive or write off

Fine waivers and lost-book write-offs change money and stock. We restrict them by role and record who approved each, so the head librarian can audit exceptions later.

Linking to student records

Members that leave should not keep borrowing. Connecting to the school or college student list lets graduation or withdrawal automatically block lending until items are cleared.

Can we keep using our current barcode scanner?

Most USB scanners behave like a keyboard, so they work without special drivers. We confirm your model during discovery and print labels sized for your spine stickers if you do not already have them.

Does it work if the internet is unreliable?

Yes. A desktop build can run on a local database at the issue desk and sync with the online catalogue when a connection returns, so lending never stops during an outage.

Can readers search the catalogue from their phones?

A member portal can expose search, availability and reservations on any phone browser. Whether it is public or login-only is your decision, and borrowing history stays private to each member.

What drives the cost of a library system?
