Visitor Management AppDevelopment

The front desk is the first impression and the first security layer. A visitor app makes arrival quick for guests and traceable for the building.

Visitor Management App Development: what the work involves

A visitor management app replaces the paper register at the gate or reception. The business problem is a mix of security and experience. Guards write names in a book that nobody checks later, hosts are not told when guests arrive, and in an incident the company cannot say who was on site. Meanwhile visitors queue at the desk to fill in the same details each time.

DevKey builds a host app for inviting visitors, a visitor flow for quick pre-registration, and a gate or reception screen for check-in. Invitees receive a QR pass by link, the host is notified on arrival and can approve or decline, and the system prints or displays a badge. A log of entries and exits is stored, with watchlists, contractor access and integration to turnstiles where installed.

What we build

Core features

01

Pre-registration and invitations

Hosts invite guests with date and purpose, and the visitor receives a link and a QR pass so arrival takes seconds.

02

Gate and reception check-in

A tablet or guard app that scans passes, captures a photo and ID details for walk-ins, and records entry and exit times.

03

Host notification and approval

Instant push or SMS to the host when the visitor arrives, with an option to approve, decline or send a delegate.

04

Badge printing and expiry

Printed or digital badges with visitor name, host and area access, which expire automatically at the end of the visit.

05

Watchlists and blocked visitors

Flag individuals who should not be admitted and alert security instantly if they attempt check-in.

06

Logs, reports and emergency list

Searchable history of all visitors, plus a live on-site list that can be used for roll-call during an evacuation.

Planned for

What we get right before launch

Personal data and retention

Visitor logs hold names, numbers and ID photos. We limit what is collected, protect it with access rules and set a retention period after which entries are deleted.

Speed at the gate

A slow system causes queues and is bypassed. We keep screens minimal, cache regular visitors and support offline check-in for gates with unreliable networks.

Integration with access hardware

Turnstiles, boom barriers and printers differ by vendor. We examine your equipment first and integrate where an API or relay exists, or keep the guard-assisted process where it does not.

Visitor Management App Development FAQ

Common questions, answered

Can residents or staff invite visitors from their phones?

Yes. A resident or employee creates an invitation in a few taps, and the visitor receives a pass by link or message. Recurring guests such as maids or drivers can have standing passes.

Is the visitor's ID stored?

Only if your policy requires it. We can capture a photo or ID number, protect them with encryption and access control, and delete them automatically after the retention period you set.

Does it work if the internet is down at the gate?

Yes. The gate app caches expected visitors and passes, records entries offline and syncs when the connection returns, so the gate keeps moving during an outage.

Can it be used for delivery riders and contractors?

Yes. Separate visitor types can have different rules such as shorter validity, mandatory ID or restricted areas, and delivery riders can be admitted using the resident's one-tap approval.
